In this blog post we will be covering what small and medium sized businesses really need to know about moving to Microsoft Office 365.

Office 365 is just Office tools in the Cloud, and I can only use it online

Office 365 is actually a suite of Cloud-based productivity services. This can include:

  • Office 365 ProPlus or Office 365 Business which is the desktop client you already know and use. Including Word, Excel, PowerPoint, OneNote and Outlook. These programs are installed on your device so they are available when you are offline. This comes with the option to store data onto the Cloud.
  • Exchange Online for your email and calendar.
  • SharePoint Online and OneDrive for collaboration, websites, workflow and file sync and share.
  • Skype for business for voice and instant messaging, meetings and online presence
  • Yammer for social collaboration amongst employees

Skype and Skype for business are pretty much the same

The Skype you use at home is free to use unless you want to buy credit for calls to landlines and cell phones. It is also great for a small number of users to chat online. Skype for business allows you to add up to 250 people to online meetings, has higher grade security and is built into your Office Apps.

Skype for business boosts people’s productivity because it lets them connect on their own terms. Employees can make and receive their own calls, give presentations and attend meetings from one presentation – as long as they have an internet connection.

Email isn’t any simpler on the Cloud

By moving your business email to the Cloud, you are assured that the experts that created the software are taking care of the tricky maintenance. You can spend more time on business operations than timeous hardware maintenance. Software updates happen automatically, but you are still in control and can change this with the Exchange Admin Centre.

Continuously updating Office 365 will break my applications

A lot rides on your employees being able to use critical apps in order to fulfil important business needs. Microsoft ensures that updates will not affect this by:

  • Offering the same world-wide standard of desktop applications
  • Ensuring that updates do not impact other software applications. If your business critical applications work with Office 2010 or 2013 now, chances are they will work with Office 365.
  • Collaborating with software vendors to ensure their products work with Office 365
  • Guidance offered for the correct procedures to follow when updating

    Dear Sirs
    We are looking at possibly switching to Office 365 at the Church where I work. We have 11 Computers currently and where wondering how it would work – would we pay per email address? Do we get a discount being a Church? We are not a NGO. Also, 2 of our users use Microsoft Publisher – would it be possible to get it as an add on?
